The six-stage workflow

    Use a stable provider ID so webhooks and backfills refresh the same lead instead of duplicating it.

    Present only review evidence

    Give the client the communication, contact details, and relevant context without asking them to navigate the full platform.

    Standardize the decision

    Use a fixed qualification taxonomy plus a reason, journey stage, and optional value or revenue.

    Add a namespaced CTM tag

    Add a namespaced LeadDecide disposition tag without replacing or removing CTM state, then preserve retry state when CTM is unavailable.

    Let CTM automate

    Use supported CTM tags or the full signed webhook payload in the reporting, CRM, and notification workflows your team has configured.

What not to automate first

Do not begin by letting a model silently qualify every lead. First establish the human categories, gather confirmed examples, and test where recommendations agree or conflict. Narrow actions such as high-confidence spam can come later behind explicit thresholds.

What to measure

Track review completion time, percentage of leads with a confirmed outcome, qualified rate by campaign, booked or won rate, and the difference between AI recommendations and human decisions. The goal is not more labels; it is more trustworthy optimization data.
